Revised Timecards

Revised Timecards for an Employee on ET

Use the following steps when a revised timesheet is required:

  1. Log onto WebET and access the pay period that requires the revision. This is done by the "Open" toolbar button.

For revised timesheets that are over three months old, the employee's direct reporting manager must notify the WebET Administrator who will open up a specific pay period.

  1. Click on any day within the pay period that needs to be revised. This will bring up the timecard associated with that period. The status of the timesheet should be "Processed" and the hours should be displayed in blue.

  2. Reverse any line that requires revisions.  To do this, right click your mouse on the line number you wish to revise and select "reverse line" in the pop-up menu or use "Edit" on the menu bar and select "Reverse Line".  Follow these steps until all lines that require revisions are reversed.

  3. On the next available line, re-enter each line that was reversed with the correct charge code and/or hours for each day.

  4. If your revision is just adding hours you only need to enter a line with the correct charge code and new hours.

  5. If the option is available in your version of WebET and you have numerous lines to be revised, the reverse timesheet feature can be used.  When using this feature, please remember that all timesheet lines must be re-entered with the correct information and hours.

The summary totals at the bottom of the timesheet should be the corrected total hours for the pay period.

  1. WebET will prompt you to fill in a brief comment. The comment should be simple and to the point for the revision. Below are examples of comments the employee should use:

  2. Save the timesheet and then sign by clicking the "Sign" toolbar button.

  3. It is the employee's responsibility to notify their manager of the revised timesheet for the manager's approval.

Revised Timesheets for a Manager on ET

Once a manager is notified that an employee has completed and signed a revised timesheet:

  1. The manager should open up the revised timesheet by clicking the "Select Employee" toolbar button and accessing the pay period that was revised. The manager should then select each employee whose timesheet is in the "Signed" status.

  2. The manager should review the timesheet and approve it by clicking the "Approve" toolbar button.

  3. Accounting will print all the revised timesheets and process them in CostPoint.

  4. Each pay period, the manager should also review the "ET Revised Timesheet" report available via CACINet to determine whether there are any timesheets for their direct reports that need approval. The report shows employees who have a timesheet in the "Signed" status for prior periods.
